1. First, click on the Acquisitions tab and then click on the Order It! Bookmark under the Advanced Tools section:
2. You will be taken to the Order It! Bookmark page. You will click the blue Order It! button and drag to your browser’s bookmark area.
3. This is how it will display in your bookmarks:
4. Make sure you are logged into Alma and then navigate to Amazon.com to add the order of a book you purchased. Make sure you are on the right format of the book you purchased.
5. On the Amazon page for the book, click on the Order It! bookmark and you will see a Create PO line in Alma for this item pop-up window display. Most of these fields should be filled out. You will need to make sure the PO line owner, Fund name, and Material supplier are all set. If GIFTS is not located in the Material supplier field, you can click on that field and start typing Gifts in the search box until it displays. Once everything has been set, click on the Create PO line button at the bottom-right of the pop-up window.
6. You will see a confirmation that the PO Line (POL) was added to Alma. Make a note of this number or copy it to be used in the following steps:
7. Navigate to Alma and run an Order lines search for the PO Line number:
8. The results screen may have one or two displays. In either screenshot, click on the Edit button:
9. You will next be taken to this Summary page. On the left-hand side of the screen, click on the Ordered Items link or scroll down the page until you see that section.
10. In the Ordered Items section, click on the three dots on the right-hand side of the screen and then click on Edit.
11. In the Physical Item Editor screen, leave the barcode number as it is, update the drop down menus for Item policy, enter the amount paid in the Replacement cost and Inventory price fields, and, if necessary, change the Permanent location if the item will not be in the Circulation collection.
If there are any notes you want to add for this item, click on the Notes tab to add there. Once all information has been updated, click on the Save button at the top right of the screen.
12. Scroll down to the Reporting Codes section, click the drop-down menu in the 1st reporting code field and choose the appropriate material type.
13. Finally, click on Save at the top-right of the screen.
14. After adding the order, follow the instructions for How to Complete Cataloging Tickets and send the items to LTS for full processing and cataloging.
15. If you forget to write down the PO Line number as described in step #7, you can do an ISBN search in the Order lines search bar:
16. If you see more than one PO Line listed in the search results, make sure you choose the correct one by reviewing the Vendor and Funds. After locating the correct PO Line, click on either of the Edit buttons and go through steps #8-13.
