Using FedEx to Ship UBorrow Interlibrary Loan (written by Jennifer Grey)

  1. Complete processing your ILL in Alma as usual. Once the item is ready to ship, go to https://www.fedex.com/secure-login/en-us/#/login-credentials
  2. Login using your campus’s User ID and Password. If you do not know this information, it can be found in the Library Sharepoint>Library Services>Interlibrary Loan on the Campus FedEx Accounts tab of the TBLC ILL Fedex Contact List spreadsheet. If you do not have access to the Library Sharepoint, please ask your manager for assistance.
  3. Once you’ve successfully logged in (you should see your Library manager’s name at the top right of the page), choose SHIPPING from the dropdown menu and then CREATE A SHIPMENT.
  4. The FedEx Ship Manager page will open.
  5. In Section 2: To:
    1. Put your cursor in the COMPANY field.
    2. Enter the three letter OCLC symbol for the institution your item is being shipped to. The OCLC symbol is the three-letter code located after the name of the institution on the Resource Sharing Slip (ie., FL State College at Jacksonville Downtown – FJD)
    3. The results of your search will appear as a dropdown window from the field. If there is more than one result (which can happen if an institution has more than one campus or location, like ours), be sure to locate the one with the matches your specific borrower.
    4. Click on the name of the correct location. The remaining fields in the section will then populate to match your selection.
  6. In Section 3: Package & Shipment Details?
    1. We recommend only processing one package at a time. Multiple items being sent to the identical borrower can be combined in one box/envelope.
    2. Enter the weight of the item(s) being sent in the package. If the weight is less than one pound, round up to one.
  1. If you do not have a scale:
    1. You can find the weight of most books by looking them up on www.amazon.com.
    2. If the book you are sending is not listed there, use the weight calculator at https://www.bookmobile.com/book-weight-calculator/
    1. Enter the dimensions of the package.
    2. The remaining fields can be left as-is.
  1. In Section 4: Billing Details
    1. Click in the YOUR REFERENCE field and then scan the ILL loan number (01FALSC number) from the Resource Sharing Slip for the item you are shipping into the field.
    2. If you are shipping more than one ILL to the identical borrower in the same package, click on the MORE REFERENCE FIELDS link and then repeat this process for scanning the additional ILL loan numbers into the PO NO. or INVICE NO fields as necessary.
  2. In Section 5: Complete your Shipment
    1. DO NOT check the Create a Shipment Profile box.
    2. Click the purple SHIP button at the bottom right.
  3. A page will appear for to print the UPS shipping label.
    1. Click PRINT.
    2. Confirm that the destination printer is correct for your location.
    3. For number of COPIES select 2.
    4. Click PRINT.
    5. If you are finished with this item, click the SHIP menu immediately above the image of the label and then choose and CREATE A SHIPMENT to process the next item. If you are finished shipping all your ILL, be sure to LOG OUT of the site.
  4. Take one copy of the printed paper with the label and fold it in half, then place it inside the box or envelope with the items to be shipped.
  5. Take the second copy of the printed paper with the label and cut along the border to trim out the label, then tape the label on the box or bag your item is packed in. Make sure that the printed label is clearly visible through the tape and (if you’re using a recycled package) that the packaging has no other old labels or barcodes visible on it.
  6. Take the packed items to your mailroom as soon as you finish processing your ILL.
