How to Manage Hold Shelf (written by Phil Arroyo)

The Hold Shelf is a waiting area where books, that have been requested by patrons, are held for up to a week for the requestor to pick up.

Processing a Hold Item

1.            Go to FULFILLMENT in ALMA.

2.            Under CHECKOUT/CHECKIN, select RETURN ITEMS

3.            Scan in the item’s BARCODE in the SCAN ITEM BARCODE field

4.            Print out the RESOURCE REQUEST SLIP that generates

5.            Fold the RESOURCE REQUEST SLIP in half, widthwise, so that the blank side faces out.

6.            Write down the patron’s last name, vertically, down the center of the folded page.

7.            Include the HOLD EXPIRATION DATE

a.            The hold expires after a week so this date is 8 days from TODAY’s DATE.

b.            If this date lands on a day the library is closed, extend it to the next open date.

8.            Wrap the RESOURCE REQUEST SLIP around the books (so that the name lines up along the spine) and rubber band in place.

9.            Place item on HOLD SHELF in alphabetical order according to last name.

Unclaimed Items

1.            In the morning, check the date of items on the HOLD SHELF

2.            If the date written onto the RESOURCE REQUEST SLIP matches today’s date or a date that has already passed:

a.            Pull the item from the HOLD SHELF

b.            Remove the RESOURCE REQUEST SLIP and shred

c.             Scan in item under RETURN ITEMS in ALMA and process as appropriate
