How to Renew Items

You can view these instructions in a PDF file or watch a two minute recording.

1. First, make sure that your location in Alma is set to the correct Circulation Desk. On the right-hand side of the screen, click the down arrow which will bring up the Location drop-down menu. If you need to switch your location, click the down arrow next to the current location and scroll through the resulting list.

The reason why it is critical for your location to be set first is because you will not have the option to renew items if it is not set.

2. You will next click on the Fulfillment tab and then click on Manage Patron Services under the Checkout/Checkin section.

3. To locate the patron, you can either type their name, ID number, or scan their ID card to retrieve the record. After you click on the name that displays, then click the Go button.

4. In the My Institutions-Loans screen, it will default to displaying the Loans tab. Here, you can view the items they have on loan by clicking on the down arrow next to where it says Filter by and selecting the All option.

5. This will display items they have checked out on their account. You have a few options to renew - you could either click next to the item you want renewed and then click either Renew Selected at the top right or by clicking Renew in the row of the item description. To renew all of their items, you can click on Renew All at the top right of the screen.

6. After the item(s) are renewed, you will see a message at the top right of the screen indicating the item(s) were renewed. You also will see the Renewed status in the item row. If any items have hold requests, they cannot be renewed. Equipment items such as laptops have different policies on when they can be renewed so check with a manager first before renewing. But generally, books can be renewed without any issues.

 

7. When you have changed the due date, click Done at the top left of the screen to close out of their account.

Note: If the patron has any overdue items, you will see a message with an option to override. If you have the appropriate Alma permissions, you will be able to override and renew most overdue materials. However, if a patron has any items that have gone to lost status, you will not be able to renew the items. They would have to be checked in.
