A PDF of these instructions is available along with a four minute recording.
Occasionally you will need to review a patron’s user account to view any notes or blocks as well as verify address. There are two ways to navigate to this part:
1. First, make sure that your location in Alma is set to the correct Circulation Desk. On the right-hand side of the screen, click the down arrow which will bring up the Location drop-down menu. If you need to switch your location, click the down arrow next to the current location and scroll through the resulting list.
The reason why it is critical for your location to be set first is because you will not have the option to view their patron account if it is not set.
2. You will next click on the Fulfillment tab and then click on Manage Patron Services under the Checkout/Checkin listing.
3. Enter in the patron’s ID number or their name, select it, and then click Go.
4. On the left-hand side of the screen, you can see if there are any active fines on the patron’s account by seeing if they are listed on the Fines and Fees line. To navigate to the User Details page, click on their name.
5. The second way to navigate to the patron’s account page, change the main drop-down menu search option to Users and enter in the patron’s name or ID number.
6. The search result screen will display. Click on the name of the patron.
7. You are now able to view more information about the patron. Navigate the tabs at the top of the screen. Any tabs with a blue icon will have information. Pay attention to the Expiration date circled below. Sometimes patrons will inquire why they cannot access online resources and that is because their account is expired. Any Blocks or Fines/Fees will be listed in those tabs.
8. If you need to add a note to a patron account, click on the Notes tab. Click on Add Note on the right-hand side of the screen and choose what type. Enter the note in the Note field. Do not Add as an external. When you are done, click on the Save button.
